What Is Dynamic Pricing—and What Changes When You Bring It Into Vacation Rental Management

If you’re an owner considering dynamic pricing for your vacation rental, there’s one thing we want to say upfront: setting it up is not the finish line. Dynamic pricing is a system in which an algorithm analyzes variables like demand, competitor activity, seasonality, day of the week, and local events, then automatically adjusts your nightly rate in real time. Well-known options include Airbnb’s “Smart Pricing” feature and third-party tools such as PriceLabs and Wheelhouse, both of which have become increasingly popular among owners of minpaku (private lodging) and simple lodging facilities.

That said, adopting one of these tools means automating your pricing strategy—it doesn’t mean handing the whole thing over and walking away. Based on our experience at Stay Buddy managing multiple properties on behalf of owners, we’ve seen that properties left entirely on autopilot tend to make two mistakes at once: missing out on revenue during peak season, and slashing prices too aggressively during the off-season.

How Dynamic Pricing Tools Actually Set Your Rates

The variables that major tools draw on generally fall into the following categories.

Demand Signals

These tools pull real-time data on booking activity in the surrounding area, search volume trends, and occupancy rates at comparable properties. For example, when a large concert or international trade show is announced and nearby vacancies suddenly dry up, it’s this demand signal that triggers an automatic price increase.

Competitor Price Monitoring

The tool also references rates at properties judged to be in the same area and tier, aiming to keep your listing positioned competitively among them. That said, the accuracy of “same tier” classification varies by tool, and your property may sometimes get compared against listings with meaningfully different locations or amenities.

Lead Time (Days Before Check-In)

The closer a date gets to check-in without a booking, the higher the risk it stays vacant—so most tools gradually lower the price as lead time shrinks. This behavior can be controlled through your settings, but if you leave the defaults untouched, you may end up selling your final nights at a price far lower than you’d like.

A Real Case from the Field: Losses from Leaving the Tool on Autopilot

At one property Stay Buddy took over, the previous owner had set up PriceLabs but never configured a floor price (minimum rate). On off-season weekdays, the tool automatically dropped prices to less than half the standard rate. Occupancy looked strong on paper, but monthly revenue fell well short of target. The real problem wasn’t occupancy—it was that the per-night rate had no floor to stop it from collapsing.

After taking over the property, the first things we did were set a floor price and cross-reference the booking calendar against local event schedules. We manually entered local festivals and exhibitions that the tool wasn’t picking up, and raised the price ceiling specifically for those dates. The month after making these adjustments, occupancy stayed roughly the same, but monthly revenue improved. The exact numbers vary widely depending on the size and location of the property, but we’ve seen this same pattern repeat across multiple properties: simply setting a floor and a ceiling can reshape your entire revenue structure.

What You Need to Know About the Minpaku Act and the Hotel Business Act

Dynamic pricing is fundamentally about how you set your rates, but the type of operating license your property holds comes with its own constraints that directly affect your revenue potential.

The 180-Day Annual Cap Under the Minpaku Business Act

Properties registered under the Private Lodging Business Act (enacted in 2018, commonly known as the “minpaku law”) are capped at 180 days of operation per year. This creates a built-in dilemma: your “remaining days” shrink right when peak season—the time you could charge the most—arrives. Using dynamic pricing to raise rates during busy periods is effective, but if you’ve already used up your available days during the off-season, you won’t have any inventory left to sell when demand peaks. Your pricing strategy and your day-allocation strategy need to be planned together, not separately.

Properties Licensed as Simple Lodging Under the Hotel Business Act

Properties holding a simple lodging (簡易宿所) license under the Hotel Business Act face no annual day limit, which means they’re structurally better positioned to benefit from dynamic pricing. That said, obtaining this license requires meeting fire safety requirements under the Fire Service Act (such as installing automatic fire alarm systems), along with checks against local ordinances and zoning regulations—which can mean substantial renovation costs depending on the property.

3 Numbers You Should Set Before Turning On Dynamic Pricing

Floor Price (Minimum Rate)

Add up your costs—cleaning fees, utilities, platform commissions (for Airbnb, the host-side fee is generally around 3% of the booking total, though this varies by settings and conditions), property management fees, and so on—and decide on a price you will never go below, before you turn the tool on. Without this safeguard, the algorithm can autonomously drop your rate to the edge of unprofitability.

Ceiling Price (Maximum Rate)

Without an upper limit, the tool may propose unrealistically high rates during demand spikes, which can sharply reduce your booking conversion rate. Research the realistic high end of your local market before setting this number.

Base Standard Rate

The tool adjusts prices up or down as a percentage relative to your base rate. If this base is set too low to begin with, no amount of optimization will push your average nightly rate where it needs to be. Setting a base rate that reflects your property’s true market value—based on competitor pricing and your own amenities and location advantages—is the real starting point.

Why Human Judgment Still Matters After You Turn the Tool On

There are situations dynamic pricing tools simply aren’t built to handle well. For instance, official statistics like the Japan Tourism Agency’s “Accommodation Survey” are compiled annually or quarterly—a completely different cadence from the real-time data these tools rely on. Localized festivals or sudden event cancellations also often go unreflected in the algorithm in time. And right after a renovation or equipment upgrade, your property’s “right” price becomes harder for the tool to estimate accurately, simply because there isn’t enough booking history yet to work from.

In these situations, someone needs to manually override the calendar and adjust pricing by hand. These tools exist to make decision-making more efficient—they are not a substitute for the decision-making itself.
