I once received an inquiry from a guest who said, “We’d like to stay for six nights, from the 18th through the 24th, but the last night, the 24th, is already fully booked. Is there any way we could still stay?”

Many hosts would simply respond with, “I’m sorry, but the 24th is already reserved.” However, this guest clearly had a strong desire to stay at this property. So the question becomes: is there any way to support their request, even partially?

What I did was recommend a different property for just that final night. I proposed something like: “Unfortunately, another guest already has that room reserved for the last night, so we won’t be able to accommodate you then. However, if you’d like, I can recommend another nearby property for that night.”

Since the guest had already chosen this property based on the area, budget, and convenience, there’s a good chance they’ll happily consider an alternative—as long as you provide a solid option.

The key to good customer support here isn’t simply handing over the name of another property or a link to a booking site. It’s about carefully listening to the guest’s preferences and budget, then selecting a property that truly matches their needs.

In this case, the party was seven people, so I needed to find a space comfortable enough for that many guests. I also learned they’d be heading to Narita Airport on their final day, so I included directions to the airport as part of my recommendation. By communicating in this way and presenting the best possible plan, you can secure a booking that might otherwise have been lost.

In fact, in this particular case, after I recommended an alternative property, the guest booked their remaining night nearby and entrusted the rest of their stay entirely to us. On top of that, we received a glowing review along with heartfelt thanks for our attentive support throughout the process.

Don’t Forget to Include Access Information Along With Property Details

When offering this kind of support, it’s also important to consider how you can reduce the hassle of moving around for your guests.

For example, think about how guests will handle their luggage when switching properties, what the transportation access looks like, and how much time they’ll realistically have between checkout and check-in. Offering thoughtful guidance on minimizing these burdens will make guests even more appreciative of your support.

Understanding your guests’ circumstances and travel plans—and proactively suggesting alternatives when needed—is ultimately the secret to being chosen by guests again and again. When you provide thoughtful customer support, you reduce the risk of losing valuable bookings simply because a room happens to be unavailable, and you also ease guests’ anxiety about changes to their travel plans. It’s a win-win for everyone involved.

Don’t limit yourself to simply saying “no” when a room isn’t available. The key lies in going that extra step and thinking, “In that case, let me recommend another property for them.”
